Ground Transportation

  • All reservations for buses, shuttles and car services must be arranged with the Anthony Travel Account Managers.
  • Vehicle rentals for one to three individuals are limited to a full-size car, except in special instances when a larger vehicle is required for transporting equipment. Renters should book the most cost-prohibitive class size allowable under the state contracted rates.
  • Additional drivers on a car rental must be a full-time university employee with a valid driver’s license.
  • Insurance coverages are included for domestic car rentals booked by Anthony Travel under the UT rates. The insurance coverage with the UT preferred venders is considered “self-insured” and the certificate of liability insurance document can be found in the athleticsdept.com portal.
  • Insurance is not included for international car rentals booked by Anthony Travel under the UT rates. You must purchase international insurance at the counter of your international destination. This is a reimbursable expense.  In addition, you are responsible for verifying prior to arrival if your destination requires an international driver’s license.  You must also advise the international rental car company if you are planning to cross any borders.
  • 12-15 Passenger Van rentals driven by a UT employee require approval from HR. Drivers must be familiar with the policy which is found on the internal athleticsdept.com portal. In addition the following must be adhered to and additional time must be accommodated to process prior to the rental.
    • Driver must be at least 25 years of age or older
    • All drivers must be certified by taking the required UT course
    • A request form must be completed prior to the rental. Forms are found on the internal athleticsdept.com portal
    • Certified drivers are only allowed up to 10 people in a 12 passenger van and and allowed up to 12 people in a 15 passenger van.
